What types of tasks can be automated?

Any repetitive task that involves moving information between systems or triggering an action based on an event. Common examples: new contact form submissions creating CRM records, invoices being paid triggering a client onboarding sequence, new project files uploading and notifying the assigned team member, and calendar bookings sending confirmation and reminder emails automatically.

Do you use Zapier/Make or build custom automation code?

Both, depending on what the workflow requires. For lower-volume, moderate-complexity workflows, Zapier or Make.com is faster to build and easier for your team to maintain. For high-volume, time-critical, or complex conditional workflows, custom automation code is more reliable and typically cheaper to run at scale. We recommend the right approach for each specific situation.

How do you handle automation failures?

Every automation we build includes error monitoring and alerting. If a workflow fails, you receive a notification before your team notices the manual process breaking down. For critical workflows, we build fallback logic and retry mechanisms. For Zapier/Make workflows, we configure task history monitoring so failures are visible.

How long does automation setup take?

A straightforward workflow connecting two or three systems typically takes 1 to 2 weeks from design to deployment. Complex automation projects with multiple conditional paths, error handling, and custom logic run 4 to 8 weeks. We scope the timeline clearly after reviewing your specific processes.

Can you automate our quoting or invoicing process?

Yes. Quoting and invoicing automation is one of the highest-impact workflows we build. Connecting your CRM deal stages to your accounting software (Xero, MYOB, QuickBooks) so invoices are generated automatically when a deal closes, sent to the client, and logged in both systems without manual intervention.

Do you integrate with our existing CRM?

Yes. CRM integration is typically the central piece of any automation project. We connect your CRM to your website, email marketing, accounting software, project management tools, and any other system that exchanges data with it.

What if our tools do not have an API?

Most modern business software has an API or at minimum a webhook capability. For legacy systems without an API, we look at file based integrations (CSV exports and imports), browser automation, or database level connections where appropriate. If a system genuinely has no integration path, we will tell you that directly rather than oversell a solution.
